| 4. | My program starts to run slow after a few days. Am I doing something wrong? |
EZ-DBR, like many programs data oriented programs, may need to be "compacted" after a certain amount of use. This is done automatically when you close the program. If you minimize the program each day after use, the program does not compact and optimize. For optimum performance we recommend you close the program after each days use. You can also periodically (we recommend once per week) compact the data portion of the program. Do this by selecting the "Optimize Data" button from the System tab of EZ-DBR. You should also reboot your computer periodically if you do not shut it off daily. This is especially important if you use Windows 98. Top
| 5. | Is there a way to get written directions for EZ-DBR? |
Yes. Just go to the "Systems" tab (next to the Main menu tab) and click on "Open Help Document". This will open "EZ Directions" in either Microsoft Word or Notepad. You can then print it out on your printer by clicking on the printer icon on top of the page. Top
| 6. | I am not good with computers. Why should I buy a computer program to do my books? |
Computers are here to stay. The entire gas station industry is embracing computer savvy dealers. As you know, you can not operate your gas station, repair shop, or convenience store without some computer ability. If you can operate an inspection machine, an ATM, or a G-Site you can use this program easily. It will save you time, money, and keep you vital in the future of this industry. Top
| 7. | I am worried about losing all of my information on a computer. Is it safe to keep my records on it? |
Using computers to keep track of and store data has long been an accepted business practice. If you respect the computer and the processes that need to be practiced, it is much safer than having your records only on paper. Data backup is fast, easy and portable. You can have an extra copy of your records at your house or in a safe deposit box. With paper records you cannot lug around your filing cabinet or make extra copies of everything you do and disperse them to safe locations. It's not practical. As far as being safe, records on a computer are just as safe as paper records behind your locked office door. If you use passwords and backups your records are very safe. If you go on the internet, you should have an anti-virus program and a firewall installed on your computer. Both are easy to get and inexpensive. Top
| 8. | How do I get help once I am in the program? |
EZ-DBR was designed with the beginner in mind. Wherever you can put the computer cursor you can get help. Every field in the program has a help screen. Entry fields will tell you what the field is and what you should enter there. Summary screens will tell you what you are looking at and where it came from. All you have to do is place the cursor in a field and press the F1 key. You can also right click with the mouse and click on the "Help" selection that comes up. Help for check boxes can be done by "right clicking" with the mouse and then selecting pressing F1 or selecting the "Help" option with the mouse. Be careful not to "Left Click" the box with the mouse, because this will change the state of the check box (in other words, turn it on or off). Top
| 9. | What if I have or am about to get blending pumps? |
EZ-DBR can be used with blending or non blending pumps with three grades of gasoline. You can also switch to or from blending pumps at any time without starting a new database or losing any data history for reports and accruals. When you first start using the program, check off the correct parameters in the start up screens pertaining to Blending. If you need to switch blending status after a while then you should print out the help document in the systems tab and go to the "blending changes" section on page 9. This will walk you through the necessary steps to change your blending status. Top
| 10. | I want to enter specific items in the drop down lists so that they appear there every day. How do I enter them and make them stay? |
Entry Types can be created specific to your business. Some default Entry Types are in the program, but you can add as many as you like. Go to Entry Type in any category, put the cursor in the blank field and double click your mouse. Key in your entry type and click ADD. Your entry type will be remembered in the pop up list. You can retrieve any entry type by clicking the arrow in the corner of the box then click on the entry type. You can also type in the first few letters of the entry and it will appear. Top
| 11. | I am not open seven days a week does this affect the averages and percentages on my summary screens? |
No. EZ-DBR was designed to average according to records not days of the month. Your averages will be calculated according to the number of records or days you entered. If you have a convenience store it is assumed that the store will be open the same amount of days as you are open for gas. Repair shop averages are not given as they are not typically open seven days a week. If you need to know your repair shop average, the program does keep and accrued rolling total on the sales summary screen. You just need to manually divide that number by the number of days worked. | 12. | Will the program keep track of my House Accounts and print a statement? |
Yes. Click on the House Account button next to the red star and create an entry type for each account. (For help creating entry types put the cursor in the "entry type" field and press F1). By creating separate entry types you can track your accounts individually, receive payments toward accounts, and create statements that are ready to mail. The statements are found in the Reports menu. The statement will copy your information from the settings screen for the return address. It can be folded easily to fit a standard "Statement" window envelope. Top
| 13. | Programs always have upgrades and new versions that are very expensive. Is EZ-DBR going to be the same? |
Upgrades are part of the software business. New ideas and new problems always need to be addressed and software upgrades will keep you up with the times. In keeping with our sales motto of "Easy and Inexpensive" We are committed to keeping the price of upgrades (New software with new features) very reasonable. Software updates however are free and can be downloaded from the update link to the left. Top
| 14. | Can I use EZ-DBR for more than one location? |
Yes. EZ-DBR will work for an unlimited number of locations. If you do your books on one computer you can put as many companies in as you like. You can also do books at each individual location and then email or send the data by disk to one main location. Top
| 15. | Does EZ-DBR offer different levels of security so employees who enter data cannot see all of my totals and statistics? |
Yes. EZ-DBR has the ability to block out each individual screen so you have control over every aspect of your data. This is done with passwords that each employee will be given by you. As the owner or "ADMIN" user you will have access to every screen and the ability to change or exclude all passwords. ***Do not forget your ADMIN password as there is no "backdoor" password for the system. If you forget your ADMIN password you will not be able to access your data without sending it to us to unlock! Top
| 16. | My gallons did not come into the program correctly when I started, what can I do to fix them? |
The problem with the gallons sounds like you didn't sync the gallons and days correctly in the setup screens. To change your original information go to the System Tab and select "Settings". At the bottom of the screen you will see a check box to "Disable Start Up Screen", click the check box to make the check disappear and then click close. Go through the start up step by step and be sure to read the screens carefully. The date entered is important because you cannot enter today's date you need to enter the day the business was done on. The gallons are from your bookwork the day before that day. So if today is Tuesday and you are doing Monday's books, you will put in the "Should Have" gallons from Sunday's close and put in Monday's date. When you are done with the Start Up You will not be able to edit these gallons in the Daily Input Screen as they are an initial system record. Also don't forget to enter your gas deliveries for Monday in the Receipts field at the bottom of the Daily Input Screen. ***NOTE*** If you were not keeping track of your should have gallons before starting EZ-DBR just use the stick reading in gallons for the appropriate day. | 17. | Is the program I am using during the 21 day trial the same after I buy it? |
The program you are using is the actual program. After 21 uses It will not let you in until you pay and we give you a registration number. At that point it will open and continue where you left off. (It is easier if you register with one use left so you are not locked out from your data.) Top
| 18. | My backup is not working, what could be wrong? |
Your file may be getting too big. If you are using a floppy disc Check to see if the file size will fit on a floppy disc. If it is too big then you need to obtain a better system to back up with. This could be a Zip drive, CD Burner, or Web server. Top
